Terms of Service

Beta notice: Flowvio is in a closed beta for the 2026-27 school year. These terms cover both the beta program and general use of our website and waitlist.

1. Agreement

These Terms of Service ("Terms") are an agreement between you and Flowvio ("we," "us," or "our") governing your use of the Flowvio application and website at useflowvio.com. By creating an account, joining the waitlist, or using the service, you agree to these Terms. If you do not agree, please do not use Flowvio.

2. Who may use Flowvio

Flowvio is built for K-12 school counselors and school staff acting in their professional capacity. You must be at least 18 years old to create an account. Students do not use Flowvio and may not create accounts.

3. The beta program

Beta access is by invitation, limited in seats, and free for your first 90 consecutive days of beta testing. After the beta period, Founding Counselors transition to pilot pricing, which we will communicate before any charge applies. Beta software changes quickly: features may be added, changed, or removed, and occasional interruptions or bugs are part of the deal. We will never treat your data carelessly because something is labeled "beta" — our privacy and security commitments in the Privacy Policy apply fully.

4. Your account

You are responsible for keeping your login credentials confidential and for activity under your account. Use a strong password that you don't use elsewhere, and tell us immediately at info@useflowvio.com if you believe your account has been compromised.

5. Student data and your school's DPA

Before entering student education records into Flowvio, your school or district must have an executed Data Privacy Agreement (DPA) with us. If these Terms ever conflict with an executed DPA, the DPA controls with respect to student data. Your school owns its student data. You agree to enter student information only as part of your professional duties and consistent with your school's policies.

You (and your school, for student education records) retain all rights to the data you enter into Flowvio. You grant us the limited rights needed to host, process, back up, and display that data in order to provide the service — nothing more. Flowvio's software, design, and branding are our intellectual property; these Terms do not grant you any right to use them outside the service.

8. Feedback

The beta exists to learn from you. If you send us feedback, ideas, or suggestions, you agree we may use them to improve Flowvio without obligation or compensation — though we will always be grateful.

9. Availability and support

We aim to keep Flowvio available and reliable, but we do not guarantee uninterrupted service, especially during the beta. We may modify or discontinue features with reasonable notice. If we ever discontinue the service, we will give you a reasonable opportunity to export your data.

10. Disclaimers

Flowvio is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. Flowvio is a workflow tool: it does not provide counseling, medical, or legal advice, and it does not replace your professional judgment.

11. Limitation of liability

To the fullest extent permitted by law, Flowvio will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, or goodwill, arising out of or related to your use of the service. Our total liability for any claim will not exceed the greater of the amount you paid us in the twelve months before the claim or one hundred U.S. dollars ($100). Nothing in these Terms limits liability that cannot be limited by law, or obligations we owe under an executed DPA.

12. Termination

You may stop using Flowvio and request deletion of your account at any time. We may suspend or terminate access for violation of these Terms, with notice where practicable. On termination, data handling follows the Privacy Policy and any executed DPA.

13. Changes to these terms

We may update these Terms as the product evolves. We will update the date above and, for material changes, notify you by email or in-app notice before they take effect. Continued use after changes take effect constitutes acceptance.

14. Governing law

These Terms are governed by the laws of the State of Oklahoma, without regard to conflict-of-law principles. Any disputes will be resolved in the state or federal courts located in Oklahoma, and you consent to their jurisdiction.
